This event is open to everyone (registration required)!
Overview
The meeting starts on Fri, Jan 31 at 7:30 am (with breakfast), so plan to arrive on Thursday night. We will have a room block for Thursday and Friday nights.

FREE Professional Headshots
Fri, Jan 31, 10 am to 6 pm
Professional headshots by Studio Walz will be offered again this year.
Photographs will be professionally retouched and available for download in a password protected gallery.
What to wear?
Solids are always best. The headshot will be in color and in black and white therefore we always encourage wearing something other than black. Medium color tones work well.

We will provide food (with vegetarian option) and non-alcoholic beverages (cash bar available). Accommodations/Lodging
ARC25 will be located at the Hyatt Regency in Louisville.
KY INBRE will cover hotel accommodations (Thursday and Friday night) for individuals from our partner and participating institutions located outside of Louisville. Please indicate on the registration form which nights you would like hotel accommodations. We suggest arriving on Thursday night if possible.
Hotel Check-In
Check-in at 4 pm, Main Lobby
Please be on the lookout for an email from Susan Boucher regarding your hotel confirmation number and rooming information. Room charges and parking are covered. A personal credit card may be required for incidentals.
Parking
Overnight guests must inform the hotel at check-in if you are parking your car.
Regular parking will be validated at the Conference Check-In Desk. You must bring your ticket in to be validated.

Poster Setup
Poster Session I: Friday 11 am to 12:30 pm
Location: Regency Ballroom South
Setup: Thursday evening - Friday morning. Please have all posters set up before 9am on Friday.
Take Down: Posters should be removed by 6pm Friday
Poster Session II: Saturday 9 to 10:30 am
Location: Regency Ballroom South
Setup: Friday after 5:30 pm
Take Down: Posters should be removed by 3pm on Saturday (after lunch/award ceremony)
Poster Guidelines
SIZE: Our poster boards are 4’ (48”) wide and 3’ (36”) deep. Posters can measure NO WIDER than 4’ (48“) landscape. We strongly suggest that posters are no more than 3 feet (36 inches) high.
POSTER NUMBERS: Poster numbers will be on the boards. Please put your number ON TOP of your poster after you hang it so attendees and judges can find you (high school student through postdoc posters will be judged).
POSTER SESSION: Odd numbered posters will be shown during Poster Session I on Friday, 11 am to 12:30 pm; Even numbers posters will be shown during Poster Session II on Saturday, 9 to 10:30 am. Please check our Abstracts List page for your poster number.
POSTER HANGING: We provide push pins for you to hang your poster. Poster Session I posters can begin being hung on Thursday after 4 pm or Friday morning as early as 7:30 am. Saturday posters can set up after 5:30 pm on Friday or as early at 7:30 am on Saturday.
LOGO AND CITATION: Visit the Resources tab on our website for official citation/ acknowledgement statement and links to download our logo. We strongly suggest that you do not right-click or screen capture our logo from another resource. Those will generally not be high enough resolution for use on your poster. Those posters that have research supported by KY INBRE funds must cite our grant.

Poster Judging
Only those posters presented by a high schooler, undergrad, grad/med/professional student, or postdoc will be eligible for judging. We are assigning judges to eligible posters based on the academic rank/title information submitted on the Abstract Submission Form. Judges will not be from your institution, nor may they necessarily be from your research category. (See first bullet tip below!)
Presenting Tips
The best presenters with the highest scores are not necessarily the oldest or most experienced presenters, but rather they are the most prepared presenters. A few quick tips:
Prepare your elevator speech. Be able to tell about your research in 3 to 5 sentences (the length of the average elevator ride) in a way your grandparents would understand. The person judging your poster does not have the same knowledge you do. Be simple. Be clear. Be concise. You can get to the technical stuff later.
Know your research. Practice, prep, and present with confidence. Be prepared to answer questions. Students, ask your mentor for pointers. Practice in front of your family and peers. You’ve got this!
Make eye contact. Look up. Talk to people, not their shoes or your poster (unless a person you are talking to has really cute/cool shoes – in that case, look down, compliment, and then continue!).
Dress for success. What you wear matters. It will put you in the correct mindset to succeed. (PS. Make sure you are also dressed to be standing for an hour and a half at your poster.)
Smile. That and good posture are the most important things you can wear. It demonstrates confidence and confidence scores points on the presentation section of the judging form.
Dress Code
Although there is no formal dress code, we recommend business casual. Those doing podium presentations may opt for a more upgraded look, adding a blazer or jacket. Crestline has posted a good article on things to consider when dressing for a conference.
Meals
Breakfast, breaks, lunch and the Friday night dinner.social event listed on the agenda are all included with your registered attendance.
The Friday night Networking Dinner and Social Event at the Sports and Social Club is within walking distance from the hotel. The event will include a dinner buffet, non-alcoholic drinks, and games. A cash bar is available at the venue for individuals 21+ that wish to purchase an alcoholic beverage.
